The Waitlist Society

Privacy

What information the Society receives, and how to reach us about it.

Updated 17 October 2026

This notice describes The Waitlist Society website. Questions and privacy requests go to [email protected].

When you browse

The site is hosted on Cloudflare. Serving and protecting the website involves technical information such as an IP address, browser details, requested pages, and request times. The page fonts are loaded from Google Fonts, which receives a request from your browser when those fonts load. Those providers describe their processing in the Cloudflare privacy policy and Google privacy policy.

The website does not currently embed advertising pixels or an analytics tracker. We do not use a visitor account or payment checkout. Our signup and practice forms do not require tracking cookies. Hosting and security services may use technical mechanisms needed to deliver or protect the site.

When you join the Society

We collect the email address you enter and the time and status of your signup. This is used to record your request for Society updates and to manage your subscription. The signup receipt explains the current status; entering an address does not create a medical profile. Email sending is not yet configured. A signup remains a pending request, not a verified subscriber, until a future sending and confirmation process is in place.

You can ask us to remove your address by emailing us. Where a subscription management link is supplied, you can use it to withdraw your signup. Marketing emails must include an unsubscribe method. A record of a withdrawal may be retained to help prevent sending again by mistake.

When you submit a practice

The practice form collects the information shown in the form: practice and website details, city, a named provider and credential, your contact email, and information about your role and the practice. An Instagram handle is optional. The submission also records the time received, browser user-agent information, and a country code supplied by the hosting service when available.

We use this information to assess the submission, check public facts, contact the submitter, and maintain the directory. The form asks for permission to use submitted practice details for coverage. Your contact email and internal submission information are not included in the public directory data. Public business facts may appear on a listing or article. Please do not send patient records or private health information.

When you email us

We receive your email address, message, and anything you attach. We use these to respond to the enquiry or act on a correction or privacy request. Avoid sending information that is not needed for that purpose.

To limit automated abuse, form requests may create a short-lived rate-limit record using a hash of the network address and time window. These records expire after the hourly window and are removed on a subsequent form request.

Access and sharing

Information is handled by the Society and the service providers used to host the website, store submissions, and manage correspondence. Practice submissions may be moved into our internal editorial workspace for review. We do not sell personal information or give subscriber addresses to clinics for their marketing. We may disclose information where necessary to meet a legal obligation or protect the service.

Keeping and removing information

We keep information while it is needed for the reason it was collected, to manage a subscription or submission, or to meet applicable obligations. A request to remove information is assessed in light of those purposes. Public business facts may still be independently available from the practice's own website. Backups and service logs can remain for their normal retention periods after an active record is removed.

Your requests

Email us to request access, correction, deletion, or withdrawal of consent. We may need to verify the request before acting. Privacy rights and available exceptions depend on where you live. If a request concerns an email address, sending from that address helps us verify it.

The site is intended for adults researching treatments. It is not directed to children. If you believe a child has submitted personal information, contact us so we can investigate and remove it where appropriate.

Links and changes

Practice websites and other external links have their own privacy practices. This notice applies to the Society's website. We will update the date on this page when the notice changes. Material changes to an existing use of personal information may require additional notice or consent.
